The Event Planner & Coordinator reports to the Director of Advancement and Community Relations. This full-time, year-round position will collaborate with the Director of Advancement and Community Relations to plan, support, coordinate, and lead a variety of school-wide events, including admissions events, marketing and outreach, community building, fundraising, performances, internal team-building and informational. This position plays a critical role in establishing and maintaining a supportive community in which students, parents, faculty, staff and other stakeholders and members feel a sense of belonging.
The successful candidate will bring both logistical expertise and creative vision to design and implement events that enhance community engagement, highlight student experiences, and strengthen the school’s mission and visibility. A strong background in event planning and production, youth program coordination, and project management.
The Advancement Coordinator works closely with the Director of Advancement, Marketing Coordinator, Division Directors, and Admissions. Supervision is provided by the Director of Advancement.
Essential Duties and Responsibilities
School Events
- Plan and execute all-school events, such as Back to School Night, Fall Festival, support coordination of divisional winter and spring productions and performances, Grandparents & Special Friends’ Day, learning journey returns, cultural celebrations, Summit for the Planet, promotional and graduation ceremonies, and fundraising events.
- Coordinate with faculty, staff, vendors, and volunteers to manage logistics, setup, scheduling, and communication.
- Manage event budgets, timelines, supplies, and documentation.
Admissions and Advancement Support
- Collaborate with the Advancement and Admissions teams to design and host outreach and enrollment events, including Open Houses, school tours, and shadow days.
- Ensure that events reflect the school’s mission, culture, and educational philosophy.
- Collaborate in designing marketing collateral and signage in conjunction with the communications team.
Summer Camp Program Support
- Assist in the planning, staffing, and daily oversight of Mount Madonna’s summer camp programs.
- Support recruitment, training, and supervision of summer camp staff.
- Help develop and implement creative, engaging, and age-appropriate curricula and enrichment activities for campers.
- Lead the middle school camp.
Qualifications
- Bachelor’s degree in communications, education, or a related field.
- Minimum of 3–5 years of experience in event coordination, preferably in a school or nonprofit environment.
- Demonstrated experience designing and facilitating engaging curricula and activities for children and youth (preschool to grade 12).
- Exceptional organizational and project management skills.
- Strong interpersonal and communication abilities; capable of working with a wide range of constituents.
- Ability to work evenings and weekends as needed for events.
- Proficient in Microsoft Office Suite, Google Workspace, and Monday.com.
- Experience with web CMS (WordPress)
- Experience with Adobe Suite (Illustrator, Photoshop, Acrobat, Premier)
- Familiarity with HTML
- Ability to lift event materials and work in an active campus environment.

Position Summary
Mount Madonna School seeks a thoughtful, collaborative, and engaging High School Science Teacher to join our Upper School faculty. The ideal candidate is passionate about science education and skilled at creating meaningful learning experiences that foster curiosity, critical thinking, scientific inquiry, and problem-solving.
The successful candidate will teach a combination of high school science courses, including biology, chemistry, physics, science with humanity, engineering, and other electives, based on experience and departmental needs. The successful candidate will teach a range of college-preparatory science courses, integrating honors and Advanced Placement (AP) coursework, and will be able to challenge highly motivated students while supporting diverse learners. This educator will contribute to a dynamic learning environment where students are encouraged to think deeply, engage in authentic scientific investigation, and develop the skills necessary for success in advanced coursework, college, and beyond.
In addition to classroom teaching, the position includes advising students, participating in experiential learning programs, and contributing actively to the broader life of the school community.

Full-Time Lower School Assistant to the Program Director & Student Support
Position Summary
Mount Madonna School seeks a caring, organized, and collaborative professional to serve as the Lower School Assistant to the Program Director & Student Support. This position supports the Lower School Program Director in the day-to-day coordination of the Lower School and the academic, social-emotional, and behavioral success of students.
Working closely with teachers, the Lower School Program Director, and the Dean of Students, this individual assists with the organization and smooth functioning of Lower School programs and activities, provides direct support to students, and helps implement learning and behavioral interventions.
The ideal candidate is passionate about child development and social-emotional growth, skilled at building trust with students, and energized by the opportunity to shape and lead a program rather than simply support one. This is a multifaceted role, and candidates with strengths across instructional design, behavioral support, and administrative coordination are especially encouraged to apply.
Primary Responsibilities
Daily Operations & Facilities
- Manage supply and facilities needs
- Support preparation for meetings
- Serve as a communication liaison
- Coordinate childcare arrangements as needed
Support Teaching & Scheduling
- Support teaching as a teacher assistant, sole teacher while the program director is in meetings, or support during assessment windows.
- Serve as emergency substitute coverage when needed
- Support recess supervision on playgrounds daily
- Supporting finding and coordinating substitute teachers as needed
Meeting & Communication Support
- Take notes during meetings and maintain a system for tracking action items through to completion
- Support data entry for benchmark and assessment tracking
- Process administrative forms
- Support ordering and accounting submissions
Event & Program Coordination
- Support coordination of Lower School events, working with office staff, parent volunteers, and outside programs as needed
- Support communication related to events
- Support calendaring for Lower School activities
Curriculum & Materials Support
- Monitor digital platform usage
- Support curriculum and materials ordering
- Support title/grant funding
Student Support Role and Responsibilities
Health & SEL Curriculum Design and Instruction
- Teach health/social-emotional learning lessons from grades 1 to 4 (first and second grade every other week and third and fourth every other week)
- Continuously evaluate and refine SEL curriculum to ensure relevance, effectiveness, and alignment with school values
- Evaluate Lower School curriculum through the lens of diversity, equity, inclusion, and anti-bias/anti-racist practices
Student Learning Support
- Teaching Assistant support for Lower School classrooms
- Assist teachers in implementing learning accommodations and interventions.
- Support students with organization, executive functioning, and study skills.
Student Behavioral Support & System Design
- Support the designing of and implementation of the Lower School’s behavioral support system, working in partnership with the Dean of Students and Program Director to build consistent, developmentally appropriate practices across grade levels
- Work directly with individual students and small groups to resolve conflicts and address behavioral concerns as they arise
- Conduct targeted conflict-resolution work, including group work addressing relational aggression among girl groups and boy groups as needed
- Implement behavior support strategies and restorative practices school-wide
- Manage and support the Student Support Team (SST) system: scheduling meetings, attending and taking notes, submitting notes to teachers and parents, and tracking action items
- Serve as a primary point of contact for parent concerns related to student behavior and social-emotional wellbeing, providing families with a consistent, structured channel for support
Daily Student Supervision & Wellbeing
- Provide supervision and guidance during recess, lunch, transitions, and other school activities
- Help foster a safe, inclusive, and positive learning environment
Professional Responsibilities
- Attend Lower School faculty meetings and student support meetings.
- Attend key meetings alongside or in place of the Program Director when scheduling conflicts arise, ensuring continuity of student support and administrative presence
- Collaborate regularly with teachers, administrators, and support staff.
- Maintain confidentiality and professionalism in all interactions.
- Contribute positively to the culture, mission, and values of Mount Madonna School.
